Forms, email and bookings
Create booking forms and manage bookings
Booking forms control the dates, capacity and payment required. The Bookings Dashboard is where you manage the people who book.
Create a booking form
- Open Bookings > Booking Forms and choose Create new form.
- Add its title, location, introductory text and success message.
- Use Show title to control whether the heading appears publicly.
- Enter optional Price text for display.
- Enter
0as the Online payment amount for a free booking, or an amount above zero to require Stripe Checkout before confirmation. - Add each date and time, its capacity, order and active status.
- Keep the form active and select Save form and times.
- Copy the displayed booking-form shortcode into the page where it should appear.
Price text does not charge the customer; the online payment amount controls payment. Paid forms require working Stripe settings.
Manage bookings
Open Bookings > View Bookings to search and filter bookings or export them as CSV. You can also create a booking manually.
Changing a booking status sends the matching automatic email when email is configured. Use Resend email when the customer needs another copy. Check Email Log to investigate delivery attempts.
A pending paid booking cannot be manually confirmed until Stripe payment has been verified.
Cancellations, waiting lists and refunds
When capacity is reached, later submissions can join the waiting list. Cancelling a confirmed booking makes that slot available, but it does not give the place to one person automatically.
Use the single Notify waiting list control near the top of the dashboard to email people waiting for an available slot. The first person to complete the public booking gets the place.
For a paid booking, use Issue refund and enter a partial amount or leave it blank for the full remaining amount. Cancelling a booking and refunding its payment are separate actions.
Deleting removes the record and should be reserved for entries you no longer need; changing its status preserves the history.
